Transcripts, Reports Cards, and Diplomas

At the end of each semester, schools issue a final report card and/or transcript


For students who study in the first semester, this report card/transcript is issued in mid-February.


For students ending in June, it is issued at the end of June


Diplomas are issued once per yearat the end of June. All documents are uploaded to the agent portal, and originals are not sent unless requested. It is your responsibility to ensure students receive their final grades.


If students leave the program with unpaid fees, damages in the host family home or host school, medical expenses, or other financial issues, the host RCE/CSAP may choose to withhold issuing the final report card or transcript to the student or student’s agent.


It is recommended that the student, parents, and agent be notified before departure. If the unpaid liability continues, the RCE/CSAP may withhold the final documents indefinitely.

Validation

The NSISP sends documents for validation twice per year at the end of each semester. If students graduate in January, their diplomas are not issued until June. Diplomas will be sent for validation at this time.


If a student requires their final report to be validated by their home country, the NSISP processes the document(s). This process has a fee. For some countries, the fee is added to the student invoice as we know it is mandatory; however, if it is a request throughout the year, an invoice will be sent.


The validation process is set by the home country, not the NSISP. While due diligence is done to ensure the paperwork is validated in a timely manner, the NSISP has no control over what happens once it arrives at Global Affairs. The Apostille Convention came into effect in Canada on January 11, 2024. Moving forward, authenticated documents will include a standard certificate called an apostille. The apostille eliminates steps required to get documents accepted in countries where the convention is in effect, including the legalization by a consular office of the destination country. This will simplify the acceptance of Canadian public documents in the more than 120 countries that have signed the convention.


If students require additional copies of their transcripts, fees will be incurred.

Departures

Students enrolled until June are to leave the province no later than the last day of their Letter of Acceptance.


Students enrolled for only the first semester are to leave before the start of the second semester.


Following these dates, the NSISP will no longer be responsible for the students, custodianship will be revoked, and medical insurance will no longer be valid.
